An opportunity has arisen for a Booking Office Team Manager to join the team at Tetbury Hospital on a Permanent, part time basis – 20 hours per week.

The Opportunity

The post holder will work within the hospital’s administration team and will lead the booking office team. They will ensure a safe service is delivered and quality targets are met, planning for periods of annual leave and sickness. They will manage the workload of the team and ensure tasks are cascaded and understood. Ensuring the workload of each booking officer is balanced and targets are met. They will perform annual appraisals and set goals for individuals and the team to achieve. 

The post holder will communicate and maintain a collaborative working relationship with all users of the booking office services both internal and external, working well with clinical and non-clinical colleagues, patients’ and relatives. They will escalate any concerns to the Head of Information Technology & Administration of any issues arising which affect the efficient running of the service.

The post holder will be required to maintain effective and efficient systems for Electronic and Paper Patient Referrals. Booking appointments and surgery, for both private and NHS patients. The post holder will always ensure patient confidentiality. The post holder may also be required to take minutes, archive documents and general office duties as necessary.

The Ideal Candidate 
The role holder should enjoy working with computers, be confident talking to members of the public on the telephone and work in a logical manner, with close attention to detail. 

The role holder will be comfortable talking to doctors and nurses to ensure the Hospital has enough outpatient clinics and theatre lists running to manage the number of patients who wish to come to the Trust for their consultation and treatment.

The ideal candidate for this role will have:

• Excellent communication skills

• Maths and English GCSE (or equivalent) 

• Excellent computer and keyboard literacy 

• Knowledge of Xcel, Word & Databases

• Previous experience of the national Electronic Referral System with evidence of specialist knowledge in ERS, DoS and Data Protection legislation

Previous experience or qualifications in IT software applications and Level 2 leadership qualification would be desirable, however, full training will be provided.


The Package
We can offer flexible hours up to 20.00 hours per week (over 4 or 5 days), with an hourly pay rate of between £ 12.56-15.62 P/ hr. This role is a Grade I (NHS Band 5 equivalent). The Hospital offers staff benefits which include pension scheme (continuation in the NHS pension is possible subject to pension rules) and a starting full-time holiday entitlement of 25 days holiday (plus Bank holidays).
